AIIM Focus Article: Smart Solutions with Intelligent Capture

A Focus on Intelligent Capture

An integral part of your information management technology strategy is how you actually get the needed information into your business systems. Do you have staff devoting time to manually entering data in those systems? Data capture solutions automatically extract data from incoming documents and make data validation simple.

This focus article produced by AIIM discusses the history of data capture, how it has evolved into truly intelligent solutions and how it can benefit you.  Even if you have a mature enterprise content management system and/or strategy, it may be time for you to evaluate the maturity of your capture strategy – how you get the information into the systems that get it into the hands of the right people when they need it.

Today’s generation of capture functions as if it has a brain. This generation of capture, aptly known as intelligent capture, uses algorithms and advanced data extraction software to “read” and validate captured content through context and applied operational rules – as if it were thinking. It’s responsive, accurate and capable of mass workloads.

In the beginning, Optical Character Recognition (OCR) was a new way software could actually read a document. But this technology has evolved, with additional functionality such as the ability to “remember” from document to document where it found data, capable of learning on its own and work independently of a user needing to tell the software exactly where to look to find information. The solutions use rules and some contextual understanding to find and lift the important information.

There are four main benefits that this type of technology brings to the enterprise, especially when paired with enterprise content management:

  1. Reduced processing cost and overhead due to automation
  2. Increased collaboration and better accessibility
  3. Heightened data security and increased data accuracy
  4. Immediately links content to an audit trail to assist in compliance
