CLEVELAND –June 27, 2012– The cost of manually processing paper is time-consuming, error-prone, and very expensive. Ochsner Health System knows these facts all too well. The health system relied completely on paper to process the nearly 300,000 invoices that come into the accounts payable (AP) department every year. Ochsner needed a more efficient way of handling documents in order to bring better insight into the Accounts Payable process. Ochsner implemented OnBase, Hyland Software’s enterprise content management (ECM) solution because it fulfilled the AP department’s need for paperless document management now, with the ability to scale to enterprise in the future.
“Our AP department was knee deep in paper. Invoice processing employees were overwhelmed with the amount of paper and the drawn-out manual tasks associated with it,” said Stacy Bundrick, vice president of accounting. “The process has been completely redesigned electronically with OnBase.”
Using scanners and OnBase Workflow, invoices are automatically indexed with data from Ochsner’s Lawson ERP and routed to the appropriate processing employee. Employees have instant access to the invoice from their cue when they get to their workstation.
“OnBase has brought two major improvements to our process. First, our employees’ productivity has increased dramatically. Since the implementation of OnBase, our AP department has seen close to a 25% increase in overall productivity. Second, we now have insight to track and catalog invoices. We know exactly where they are instead of wasting time searching multiple places. It’s been a win-win solution for our staff and they couldn’t be happier with the new process,” Bundrick said.
